Administrative Coordinator

About the job

The Administrative Coordinator will report to the Chief Program Officer (CPO). S/he will provide high-level administrative support through scheduling, data entry, record keeping and other administrative tasks. S/he will assist the Department of Programs and Administration with information management, bookkeeping and assisting with volunteer and mission trip coordination.

Responsibilities

Bookkeeping

  • Record receipts and disbursements

  • Ensure proper general ledger and class coding

  • Provide support for financial statement preparation

  • Complete special projects as needed and other duties as assigned

Clerical and Data Entry

  • Enter donations and create donor profiles

  • Assist with printing, assembly, and postage for mailings

  • Assist with preparation of year-end tax receipt letters

  • Process accurate data across multiple platforms (i.e. Focus Missions and Bloomerang)

  • Receive and record expense receipts in client files

Program Support

  • Assist with administration of volunteer activities

  • Record volunteer hours and interactions

Qualifications

  • An understanding of leadership as servanthood

Education and Experience

  • At least 2 years of overall professional experience in a nonprofit setting

  • Education may vary; an advanced degree in business administration, finance, or law is preferred, but not required

Required Skills

  • Strong interpersonal skills and ability to work well with people

  • Strong communication skills; ability to write well and communicate effectively, specifically over the phone, through letters and email

  • Strong computer skills, including Microsoft products and team collaboration platforms

  • Strong organizational skills and excellent attention to detail

  • Occasional availability to work evening or weekend hours

  • Ability to lead multiple long- and short-term projects simultaneously, meeting all related deadlines

  • Ability to plan, prioritize, coordinate, and manage own work

  • Ability to work unsupervised and make decisions and solve problems independently, effectively and creatively

  • Ability to work well under pressure

Physical Requirement

  • Prolonged periods sitting at a desk and working on a computer

  • Must be able to lift up to 15 pounds

  • Must be able to navigate various departments of the organization’s physical premises
